Job Description

We are seeking a proactive and organised Administrative Assistant to support our operations team with a wide range of coordination and administrative duties. This role is central to ensuring engineers, subcontractors and clients are supported efficiently, documentation is accurately maintained, and operational processes run smoothly. The role is a Fixed Term Contract for 6 months; there is a strong possibility the role will lead to a permanent position.
The main duties will be :
  • Issue reports to clients, review returned reports for accuracy and completeness and proactively chase engineers for any outstanding or missing documentation.
  • Book hotels for engineers as required, confirm engineer visits with clients in line with the diary schedule, and provide general diary oversight to support efficient planning.
  • Update and monitor staff training records, track expiry dates, and coordinate training renewals to ensure compliance requirements are maintained.
  • Chase subcontractors for required documentation, update records, and collate compliance documents to ensure all subcontractor details remain current and accessible.
  • Raise permits to access sites in accordance with client requirements and ensure all necessary documentation is completed prior to engineer attendance.
  • Order and manage office stock, maintain organised records, and support general administrative tasks including accurate data inputting.
  • Maintain visibility of the engineer diary to identify scheduling conflicts or gaps and provide administrative support to the operations team where needed.

The ideal candidate will have the following skills:
    • Strong organisational skills with the ability to manage multiple tasks and deadlines.
    • Confident communicator, able to liaise effectively with engineers, subcontractors and clients.
    • High level of accuracy and attention to detail, particularly in relation to documentation and data entry.
    • Proficient in Microsoft Office applications and comfortable using operational
    • Previous experience in a construction, engineering or building services environment.
    • Understanding of compliance documentation and training record management.
    • Able to work both independently and collaboratively within a team environment.
